Clinic AI Receptionist

Open for pilot clinics

Answers your clinic’s calls and LINE messages in Thai, and knows when to hand a patient to your staff.

Pilot clinics

How the pilot works.

Who it is for, how it connects to your clinic, the steps to go live, and how pricing is put together.

Who it is for

  • Dental clinics

The pilot starts with dental clinics.

  • Other clinics that work by appointment

Skin or aesthetic clinics, for example. We consider these case by case.

How it connects

  • Your existing LINE OA

Your clinic keeps its LINE Official Account. We set up the connection for you.

  • Phone calls

If staff answer your regular clinic number, you can forward it to the assistant. If your number runs through a hosted call-center service, we provide a new number for calls instead.

Steps to go live

  1. A demo with us
  2. Your clinic sends its services, prices and opening hours
  3. We configure it and test it with your staff
  4. Go live

Your staff still confirm every booking: the assistant takes the booking request, staff confirm it, and the patient hears back on LINE or by a staff call-back, depending on how they got in touch.

How pricing works

A one-time setup fee plus a monthly service fee. Both depend on the number of branches, the channels you use, and your call and chat volume.

You get a written quote after the demo.

What it does

A front desk that answers when yours cannot.

Six jobs it does for your clinic. Each one is built into the product, not a promise on a roadmap.

01

Answers the phone in Thai

It picks up calls and talks with patients in natural Thai. Callers can interrupt mid-sentence, the way they would with a person, and if a reply needs a moment it says so instead of going quiet.

02

Replies on your LINE OA

It answers patients on your clinic’s LINE Official Account, reads a burst of short messages as one question, and offers quick-reply buttons for common requests. Photos patients send go straight to your staff.

03

Takes booking requests

It collects the treatment, branch and preferred time, then puts the request in front of your staff to confirm. The patient hears back on LINE or by a staff call-back, depending on how they got in touch. Requests to change or cancel go to staff the same way.

04

Knows your clinic

Prices, promotions, opening hours and doctor schedules come from a knowledge base your staff edit themselves. Snap a photo of a price sheet to draft an update, preview the answer, then publish.

05

Hands off to your staff

When a patient needs a person, your staff group gets an alert with the whole conversation. The AI steps back while staff reply, and picks the chat up again when they hand it back. Every case keeps a word-for-word record.

06

Keeps going after closing time

After hours it keeps answering phone calls and LINE chats, takes booking requests for the morning, and tells patients when staff will be back. For anything urgent, it tells them to go to a hospital emergency room rather than wait.

A phone glowing on a reception desk after closing time.

Also included

  • Word-for-word records

Every call and chat, searchable by your staff.

  • Monthly owner summary

What was handled, how many booking requests came in, how many bookings staff confirmed, and what was handed off.

  • PDPA tools

AI and recording notice at first contact, opt-out, export and erasure.

  • Cost and abuse guards

Daily limits per clinic, rate limits and a block list.

Safe by design

A receptionist should never play doctor.

Every reply goes through a safety check before it is sent. If a draft crosses the line, it is replaced with a safe answer that points the patient to a doctor or your staff.

Built not to

  • Diagnose

Replies are checked for any suggestion of what condition a patient might have.

  • Advise on medicine or doses

Questions about medicines, doses or missed doses go to your team.

  • Promise a cure

Replies are checked for claims that a treatment will work or that a result is guaranteed.

Instead, it

  • Hands the question to your staff, with the conversation attached
  • Sends questions that need a patient’s records to staff
  • Points urgent cases to a hospital emergency room

See it in action

Ninety seconds at the front desk.

A short film, in Thai, of the receptionist answering a clinic’s calls and LINE messages.

In Thai
Example from a dental clinic
Read the film as text (translated from Thai)
  1. [Phone ringing] A desk phone shows an incoming call. Messages float up around it: “I’d like to book a scaling”, “How much are braces?”, “I need to reschedule”, “Missed call”, “Patients waiting at the counter”.
  2. On screen: “12:05, lunch break. Patients are free to call.”
  3. On screen: “19:40, nearly closing. Patients are free when the clinic isn’t.”
  4. On screen: “02:14, closed.” The call is answered; the phone reads “In conversation”.
  5. AI assistant (spoken): “Hello, this is the clinic’s AI assistant.”
  6. [Music starts] On screen: “The AI takes the call. Your team takes care of patients.”
  7. A chat between a patient and the AI. Patient: “Are you open this Saturday?” AI: “Yes, we are. Would you like to book?” The answer comes from the clinic’s opening hours (Monday to Friday 10:00 to 19:00, Saturday 10:00 to 18:00, Sunday closed).
  8. On screen: “The questions you answer every day: the AI answers with your clinic’s data.”
  9. Saturday closing time is changed from 18:00 to 17:00 in one place, and the phone and LINE answers change with it. On screen: “Edit in one place. Phone and LINE answer the same.”
  10. A LINE chat: the patient asks to book a scaling, the AI asks which day and time suit them, the patient answers “This Saturday afternoon”, and the AI replies “I’ve sent it to the team to check the schedule; we’ll confirm in this chat.” On screen: “LINE answers too, with the same information.”
  11. On screen: “What needs a person goes to a person”, with the labels “AI resolves it” and “Reaches the team with a summary”.
  12. A booking card for “Kamonwan S.”, status “Awaiting confirmation”: scaling, this Saturday afternoon. Summary: wants a scaling, Saturday afternoon suits. A “Confirm booking” button. On screen: “It reaches your team with a full summary.”
  13. The system’s list of requests from LINE and the phone, with one row highlighted. On screen: “Real system screen, fictional data.”
  14. The team confirms the booking for this Saturday at 14:00; the status turns to “Confirmed” and “Patient notified”, and the patient gets a LINE message: “Your scaling is confirmed for this Saturday at 14:00.” On screen: “Your team confirms, the patient knows at once on LINE.”
  15. [Music stops; low thuds] Message cards scatter on black. On screen: “No made-up answers.” “No final say on treatment.” “Can’t answer? It goes to your team.”
  16. [Music returns] On screen: “Every request has somewhere to go, whenever it comes in.”
  17. A daily bar chart of calls, chats and handovers to the team (illustration). On screen: “Owners can see the whole picture any time.”
  18. Layers of data stacked up. On screen: “Clinic data, backed up continuously. Restores tested for real.”
  19. The phone rings again and is answered; an orange and green ring turns around it.
  20. On screen: “The AI takes the call. Your team takes care of patients.”
  21. On screen: “An AI assistant that answers calls and chats, for dental clinics.” A “Book a live demo” button and the by VESPERWERK logo.

Questions

Before you book a demo

Which clinics can join the pilot?

Dental clinics first. Other clinics that work by appointment, such as skin or aesthetic clinics, we consider case by case: tell us about your clinic and we will say whether it fits.

What languages does it speak?

Thai. It is built for Thai patients and talks in Thai on both the phone and LINE. If your clinic needs another language, tell us on the demo call.

What happens after the clinic closes?

It knows your opening hours. After closing time it keeps answering phone calls and LINE chats, saves booking requests for staff to confirm in the morning, and tells patients when you will be back. For emergencies it tells patients to go to a hospital emergency room.

How does handoff to staff work?

Your staff group on LINE gets an alert with the whole conversation, and a case appears in the staff back office. While staff handle a chat, the AI stays quiet; staff can reply from the back office and hand the chat back when done. On the phone it takes a message and a callback number.

How is patient data handled?

On first contact, by phone or on LINE, the assistant tells patients that it is an AI, that the conversation is recorded, and that their earlier questions may be remembered. Each notice is logged with the exact wording the patient received. Patients can opt out, and personal data can be exported or erased on request. Each clinic’s data is kept separate and backed up.

Where does conversation data go?

Calls and chats are processed by the providers that run the service: telephony, speech recognition and speech synthesis, the AI models, and hosting. Some of these providers are outside Thailand, and each works under a data processing agreement. Your clinic is the data controller for patient data, and we process it on your behalf. The clinic agreement sets out the details.

What does setup look like?

After the demo, your clinic sends us its services, prices and opening hours. We build the knowledge base from them, configure your branches, connect your existing LINE OA, set up calls (your existing number forwarded, or a new number we provide), tune the safety rules, and test everything with your staff before patients use it. Staff still confirm every booking.

How does pricing work?

A one-time setup fee plus a monthly service fee. Both depend on the number of branches, the channels you use, and your call and chat volume. You get a written quote after the demo, before anything starts.

Does it replace my front desk team?

No. It takes the repetitive questions and requests so your team can focus on the patients in front of them, and it hands over anything it should not answer.

Hear it answer your clinic’s questions.

Book a demo and we will walk you through a call and a LINE chat, then talk through what setup would look like for your clinic.
